How Do I Remove a User from My Project or Community?
The quickest way to remove an individual user from a project is via their User Summary page. From the Project Homepage:
1. Type the user's name, username, or email address into the knowledge base search bar in the upper right corner.
2. Click the name to navigate to their User Summary.
3. Confirm the correct project is selected in the upper right drop-down menu.
4. Click Remove from project in the left-hand action menu.
5. Check the box that reads "I want to remove this user from [Project Name]. (Project Managers will not be removed)"
6. Click Remove.
How Do I Remove Users in Bulk?
1. Click Management in the navigation bar and go to Users > User Management.
2. Create a Filter to narrow the list to the users you want to remove.
3. Under the Action drop-down, select Show user list (the default).
4. Click Perform action.
5. Check the box next to each user you'd like to remove.
6. In the Action menu at the bottom of the page, select Remove users from project and click Submit.
7. Verify the users you'd like to remove are correct and check the box that reads "I want to remove these users from this project."
8. Click Remove.
What Happens to a User's Data When They Are Removed?
- All form data (surveys, feedback, profiles, etc.) not marked as personal data is retained by the system.
- The user record is obscured and account data is removed, allowing their unique identifiers to be reused by other users later.
- Onboarding limits for that user are removed, so another user can follow any onboarding the removed user had used.
- Report distributions no longer go to the removed user.
- Outstanding password reset requests from before the removal will no longer allow site access. The removed user will be redirected to the sign-in page instead.
Why Can't I Remove a Particular User?
The platform has a built-in safeguard that prevents the removal of Community or Project Manager team members. This protects against accidentally removing an entire management team.
To remove a Community or Project Manager, first move them to a lower-order team type (Internal Members, Participants, or Applicants). Once reassigned, you can remove them from their User Summary, Team Management, or User Management.
Important notes:
- Always perform removals from within the project. If you remove a user's account at the community level, they will be removed from your platform entirely and can only be recovered by the Centercode team.
- Project Managers cannot be removed from a project directly. They must first be removed from the Project Managers team before they become eligible for project removal.
