Guide to bulk targeting users with team import

Quickly target a specific group of users by importing an email list into a Team.

You have a list of email addresses and you need to do something with those accounts. Maybe it's a compliance request, a batch of accounts to disable, or a group that needs a targeted email. Team Import lets you turn that list into an actionable Team in a few clicks.

When to Use Team Import for user targeting

Team Import is built for precision. You already know exactly who you're targeting. Common use cases include:

  • Disabling or removing specific user accounts
  • Sending a targeted email to a defined group
  • Flagging accounts for follow-up or review
  • Acting on compliance or privacy requests (opt-out processing, account removal, etc.)

If you're trying to discover new participants or segment by profile data, Recruiting and Targeting tools are a better fit.

What You'll Need

Before you start, make sure you have:

  • A list of user email addresses (one per line or column in a CSV or TXT file)
  • Access to the Teams and Admin tools in your project
  • A clear plan for what action you'll take once the Team is populated

Importing Your Email List

1. Navigate to Teams

From your project, go to AdminTeams.

Teams group users for access control, communication, and bulk actions. You'll use one here as a container for your imported list.

2. Create or select a Team

You can create a new Team or select an existing one.

For one-off or sensitive actions, we recommend creating a new Team with a clear, descriptive name. Something like "Account Removal - March 2026" makes it obvious why the Team exists when you revisit it later.

💡 Ted Tip: I recommend creating purpose-built Teams for administrative actions rather than reusing Teams meant for testing or access control. It keeps your workspace clean and your intent clear.

3. Select Import

Within the Team, click Import. You'll be prompted to upload a file or paste a list of email addresses.

4. Upload your email list

Upload your CSV or TXT file, or paste the addresses directly into the import field.

A few things to know:

  • Email addresses must match existing user accounts. Only matching accounts are added to the Team.
  • Addresses that don't match an existing account are skipped. No new accounts are created.
  • Duplicates are handled automatically.

5. Confirm and complete the import

Review the import summary, then confirm. All matching users are now members of the selected Team.

Taking Action on the Imported Team

Once the Team is populated, you can use it as a targeting mechanism for several actions.

  • Account Management

    Now that all these users are consolidated into a team they'll be much easier to target for actions like community or project removal, or any other action that can be achieved via macros.

  • Targeted Bulk Email

    Use the Team as the recipient group for platform email. This works well for compliance notices, account-related communication, or highly targeted updates.


Troubleshooting

  • Some users didn't import. Verify that the email addresses exactly match what users registered with. Even small differences (extra spaces, alternate addresses) will prevent a match.

  • No users were added. This usually means none of the addresses exist in the project. Team Import doesn't create new accounts. It only matches against existing ones.

Notes

  • Save your original email list file for audit and compliance tracking.
  • Confirm the action you're about to take before executing it. Team Import paired with bulk actions is powerful, so double-check your intent.
  • If a Team is no longer needed after you've completed your task, remove it to keep your workspace organized.
