How do I configure automated notifications in Connect?

A common request that we get is, "How do I configure automated notifications for a particular event?" This article seeks to shed some light on the various ways of automatically providing this data within Connect. There are two primary types of events which can be configured in this manner - 1) User Action events, and 2) Forum activity.

User Action Events

For most data in Connect, a Report can be generated to reference it. Additionally, any Report can be Scheduled to Refresh and/or Distribute at a particular time or at a particular interval. Given this information, for example, if you want to be notified of which Users joined your Community or Project in the last 24 hours, or which QA/Support Member was closing out the most Bug Reports, you would build a Report which shows all data fitting that description. You could then save the Report for future use, and set the Report to Refresh and/or Distribute automatically at the chosen date/time.

The dynamic part of this process is finding which data you want to be notified of and creating the Report to your liking. Details on creating a Project-Scope Report containing only particular sets of data, or Elements, can be found here.

Note:

For multiple Elements on the same Report, simply follow the same steps provided in the article, and then select the Append to an Existing Report link under Save this Report Element at the bottom of the results page.

Forum Activity

Managers, Internal Team Members, and even Testers can receive e-mail notifications regarding Forum activity. The effect is achieved by Subscribing to a User Forum or Thread. The access to Subscribe is dictated by the Project Manager when creating or modifying a particular User Forum. Under Advanced Team Access, you can set certain Teams to be automatically Subscribed to a Forum or allow them to Subscribe manually.

As a result, Subscribed Users will receive E-mails whenever a post is made in that particular Forum.

Note: 

If your Forums are particularly active, you may benefit from selecting the Daily Digest option. This option compiles the Forum Subscription updates into a single E-mail which gets sent out daily. The button to toggle this option on/off is found on the top-right of each Subscribed Forum Topic List.
